# Pro Business Accounts

Pro Business Accounts give Pro business owners a way to manage employees and client properties in the Rachio app. A Pro Business Account keeps business-owned and client-shared properties connected to the organization instead of to an individual employee's personal account.

  

Use a Pro Business Account to:

*   Manage your team with Owner, Admin, and Tech roles
*   Give team members access to client properties without making them property owners
*   Request client property access using a QR code or business code
*   Share a digital business card with clients
*   Keep property and device access with the business when employees leave

#### Note

Pro Business Account features are only available to users who are members of a Rachio Business Account. Homeowner accounts and installers who indicate they are professional contractors in their profile settings will not have access to these features.

## Create a Business Account

A Business Account is a registered organization in Rachio. It lets you manage employees and client properties under one administrative account.

  

A Business Account can include:

*   One Owner, typically the business owner
*   Multiple Admins, such as an office manager or dispatcher
*   Multiple Techs, such as employees who perform installations and service calls

A Business Account is registered to the Owner's Rachio account email address. This email address can be changed later if needed.

  

Each team member should use a separate Rachio account. If a team member does not already have an account, they will receive instructions when you invite them.

  

When you create a Business Account:

*   You become the Owner of the Business Account.
*   All properties you own or manage through shared access are automatically shared with team members you invite to the business.
*   All properties you own or manage receive your digital business card in their contractor list.

### Before you start

Gather the email addresses for the team members you want to invite. Company email addresses are recommended, but personal email addresses can also be used.

Rachio accounts are free to create. Team members should use the email address they want associated with their business role.

  

#### Important:

A Rachio account used as an Owner, Admin, or Tech in a Business Account is intended for business use. Any personally owned Rachio devices on the same account will be migrated to the Business Account once an invitation is accepted. If an employee needs to keep personal devices separate from business work, use separate Rachio accounts with different email addresses.

  

### How to create a Business Account

  

1.  Open the Rachio app in Pro View. If you have not set up Pro View, open account settings, tap **Edit Profile**, and select **Business/work use** under the Account Type heading.
2.  Open the sidebar menu.
3.  Select **Create a business**.
4.  Enter the required business information:
    *   Business name
    *   Address
    *   Phone number
    *   Website, if applicable
    *   Logo, if applicable
5.  Submit the business information.
6.  Open the verification email sent by Rachio.
7.  Select the verification link to verify the business.

If you or a member never received the email invitation, be sure to check your Spam/Promotions email folders. The verification link is active for 3 days. If the verification link expires, the Business Account Owner can resend the verification email from the Business Card or Business Settings area in the sidebar menu.

If you’ve selected “business use” in your Rachio account profile you’ll see the Pro sidebar menu. Tap “Create business account” to begin.

Enter these fields. Next you’ll get an email with a link to confirm. Once you confirm via the email, your business account is verified.

Close your Rachio app and open it again. You are now the Owner of a verified business account

  

### What happens after verification

  

After the business is verified:

*   The account that created the business becomes the Owner.
*   Properties and devices owned by the Owner are treated as owned by the business.
*   Properties shared to the Owner are shared to the business.
*   All properties owned by or shared to the Owner receive the Owner's business card on their contractor list.
*   Sharing Tools and Role Management become available for the business.

If a property shared to the Owner contains multiple devices, the full property is shared to the business after verification. This helps keep property access consistent for all devices at the same location.

## Understand roles in a Business Account

Business Accounts use three roles: Owner, Admin, and Tech. Each role has different permissions for managing team members, properties, and devices.

### Owner role

The Owner creates the Business Account and is the primary member of the account. Each business has only one Owner. The Owner is the only role that can edit or delete the Business Account.

  

As with all Business Account roles, Owner accounts cannot contain properties or devices that are separate from the business.

  

Owners can:

*   Edit business information
*   Onboard and manage properties and devices owned by or shared to the business
*   Invite Admins and Techs
*   Change Admin and Tech roles
*   Manage Tech access to specific properties
*   Remove Admins and Techs from the business
*   Delete properties owned by the business
*   Remove property shares with the business
*   Onboard properties and devices for clients
*   Use Sharing Tools to access client properties and share business cards
*   Share and transfer business-owned properties
*   Transfer business ownership to a different account
*   Delete the business

### Admin role

Admins can manage users and property access. Admin accounts cannot contain properties or devices that are separate from the business.

  

Admins can:

*   Manage devices and properties owned by or shared to the business
*   Invite people to join the business as Admins or Techs
*   Change Admin and Tech roles
*   Manage Tech access to properties
*   Remove Admins and Techs from the business
*   Remove property shares with the business
*   Onboard properties and devices for clients
*   Use Sharing Tools to access client properties and share business cards
*   Share and transfer business-owned properties

Admins cannot:

*   Delete properties owned by the business
*   Edit or delete business information
*   Delete the business
*   Transfer business ownership

### Tech role

Techs can onboard devices, share properties, and share business cards. Techs have access to all properties owned or managed by the business by default. Owners and Admins can restrict which properties a Tech can access.

Tech accounts cannot contain properties or devices that are separate from the business.

  

Techs can:

*   Access assigned client properties
*   Onboard and service devices for clients
*   Use Sharing Tools to access client properties and share business cards
*   Share and transfer business-owned properties when they personally onboarded a device into the property

Techs cannot:

*   Invite team members
*   Manage other team members' roles or property access
*   Delete properties owned by the business
*   Edit or delete business information
*   Delete the business
*   Transfer business ownership

The business owner has complete control of the account. You can edit and delete this business account, as well as transfer it to another member of your business.

## Invite and manage your team

Owners and Admins can invite team members to join the Business Account.

### Invite an Admin or Tech

  

1.  Open the sidebar menu.
2.  Select **Role management**.
3.  Enter the team member's email address.
4.  Choose a role:
    *   **Admin**
    *   **Tech**
5.  Send the invitation.

Invited teammates will receive an email invite. Roles are pending until they accept the invitation in their email. You can re-send invitations or cancel them from the “Manage invite” button

  

The invited user receives an email invitation. They must accept the invitation before their role becomes active. If your team member never received the email invitation, confirm the correct email address and have them check their Spam/Promotions email folders.

Employees will receive an invitation to join your business account via email. They can simply tap the blue button and refresh their app and they will be members of your business account.

Employees that don’t yet have a Rachio account will receive this email with an invitation to download the Rachio app and create an account.

  

Until the invitation is accepted, the user appears as a pending invite. Owners and Admins can resend or cancel pending invitations.

### What happens when a team member accepts an invitation

  

When a user accepts an invitation to join a Business Account:

*   They become an Admin or Tech in the business.
*   Their business role is added to their Rachio account.
*   Properties and devices they own are transferred to the Business Account Owner.
*   Properties and devices that have been shared with them are added to the business and shared to business members.

#### Important

Inviting an existing Rachio user into a Business Account will bring their existing owned and shared properties into the business. Team members who want to keep personal devices separate should use a separate Rachio account for business work.

### Edit a team member's role or property access

  

Owners and Admins can:

*   Change a team member's role from Admin to Tech
*   Change a team member's role from Tech to Admin
*   Restrict property access for specific Techs
*   Remove a team member from the business

Property access can be managed for each team member. Owners and Admins can use search to find specific properties when managing access.

### Remove a team member

  

When an Admin or Tech is removed from the business:

*   Their business membership ends.
*   Their access to business-owned and business-shared properties is removed.
*   Devices and properties remain with the business.

This helps prevent former employees from maintaining device access.

### Leave a Business Account

Admins and Techs can leave a business.

  

After leaving, the account becomes a consumer account and loses access to business-owned and business-shared properties.

## Onboarding, sharing, and transferring devices as a Business Account member

Any device onboarded to a business-owned property in a Rachio Business Account is owned by the business. Anyone in the business can then share or transfer that property to a client, if needed.

  

When onboarding for a client, the best approach depends on whether the client already has a Rachio property. Techs and Admins can onboard directly into properties that clients already own.

### Onboarding devices when the client already has a Rachio property

Ask the client to share their property with your business before onboarding any new devices.

  

1.  Once the property is shared with the business, tap the +Add button to begin onboarding.
2.  Choose the device you’ll be onboarding to the clients property.
3.  Search for the clients property, or select it from the list.
4.  Onboard the new device directly into the client's existing property.

Choose the device you’ll be onboarding to the clients property.

Next, choose a property or use the search bar to find the client property. If your client’s property is not on this list it means they haven’t shared it with you, or don't yet have a Rachio Property.

  

When a device is onboarded into a client-owned property, the client owns the device. The device is shared back to the business so business members can access it.

### Onboarding devices when the client does not have a Rachio property

  

1.  Tap the +Add button, select "Property", and use the client's address to create a new Property for them.
2.  Once the property is created, tap the +Add button again to begin onboarding.
3.  Choose the device you’ll be onboarding to the clients property.
4.  Search for the property, or select it from the list.
5.  Onboard the new device directly into the client's existing property.
6.  Share or transfer the property to the client. The property is owned by the business until it is shared or transferred.

### Onboarding multiple devices for a client - Best practices

  

If the client already has a Rachio property:

*   **Request access using Sharing Tools.**
*   Onboard both devices directly into the client's property.

If the client is new to Rachio and does not have a property:

*   Add the first device while creating a new property.
*   Add any additional devices to the newly created property.

After onboarding, you can:

*   Share the property with the client if the business should keep ownership.
*   Transfer the property to the client if the client should own it. Select the option to retain shared access for the business when appropriate.

  

### Share or transfer a property to a client or another business

Sharing gives another user or business access to a property without changing ownership.

  

After onboarding a device to a new property for a client, you may want to share the property with them or transfer ownership to them. Anyone using a Business Account can share a newly created property. This can be done by a Tech during the installation appointment or by an Admin later.

  

In some cases, it may be necessary to transfer or share a property with another business.

### Share a property with a business or individual

  

Use sharing when:

*   The current owner should keep ownership.
*   A client wants your business to manage or service their Rachio devices.
*   Your business needs to give access to another user or organization.

#### Share a property

  

1.  Tap the "more" button on a property and select "Share property".
2.  Select "+ Add shared user"
3.  Tap share with "friends & relatives" if sharing with a client, or tap "Share with a business" when sharing with another business.
4.  Enter the user's Rachio account email address, or a Business Code to complete the process.

When a property is shared with a business, all devices on the property are shared. Sharing individual devices is not possible when sharing to a business.

### Transfer a property to a business or individual

Transferring moves ownership of the property to another user or business.

  

Use transfer when:

*   The client should become the property owner.
*   The business should permanently own or manage the property.
*   Ownership needs to move away from the current account.

#### Transfer a property to a business

  

1.  Open **Transfer property**.
2.  Choose **Transfer to a business**.
3.  Scan the business QR code or enter the business code.
4.  Review the business name and logo.
5.  Confirm the transfer.

After transferring to a business:

*   The Business Account Owner becomes the property owner.
*   Business members receive access based on their role and property access settings.

#### Transfer a property to an individual

  

1.  Open **Transfer property**.
2.  Choose **Transfer to an individual**.
3.  Enter the recipient's email address.
4.  Choose whether to:
    *   Keep shared access to the existing devices on the property
    *   Keep current shared accounts attached to the property
5.  Confirm the transfer.

When ownership is transferred to an individual, the previous owner may lose access unless shared access is kept.

## Get access to client properties with Sharing Tools

Sharing Tools let clients share property access with your business using either a QR code or a 6-character business code. These codes are unique to your business.

  

When a client shares a property with your business:

*   The full property is shared with the business.
*   All devices on that property are shared.
*   Business members receive access based on their role and property access settings.
*   The client sees the business name and logo in their sharing settings.
*   The client does not see a list of every business member with access.

If the client removes business access, all members of the business lose access to that property.

###   

### Guide a client through the sharing process while on-site

  

1.  Open your Rachio app in Pro View.
2.  Open the sidebar menu in the top-left corner of the home screen.
3.  Select **Sharing Tools**.
4.  Select **Get property access**. This displays the QR code and alphanumeric code for the business.
5.  Ask the client to scan your QR code and follow the prompts to share their property with your business.

Present the QR code for the client to scan, or ask them to tap on Sharing -> Share to business and enter your business code. You could also send this code over text or a phone call

If they choose to scan your QR code, they scan with their own device when you present the QR code.

To share your business code via text, WhatsApp, etc, tap the code to copy it.

### Request access remotely with a business code

If the client cannot scan the QR code, or if you need to gain access to a client property without a Tech on-site, the client can provide access by entering the 6-character alphanumeric code manually.

  

To share the 6-character code with a client:

1.  Open **Get property access**.
2.  Copy the 6-character business code and share it with the client by text, email, or phone.
3.  Ask the client to open their Rachio app.
4.  Ask the client to select **Share property** from the top of their device list.
5.  Ask the client to choose **Share with a business**.
6.  Ask the client to select **Enter business code** and enter the code you provided.

The business code can only be used to provide access to the business associated with that code.

## Share your digital business card

Each Business Account has a digital business card. Clients can save this card in the Rachio app, add it to their phone contacts, and share it with others.

### What the business card includes

  

A digital business card may include:

*   Business name
*   Business phone number
*   Address
*   Website
*   Logo
*   Owner contact information

### Automatic business card sharing

  

Your business card is added to a property's contractor list automatically when:

*   A client shares a property with your business.
*   A property is transferred to your business.
*   An organization member onboards a device to a property.
*   An Owner creates and verifies a business.
*   A user accepts an invitation to join a business.

When your business no longer has access to a property, the business card is not automatically removed from that property's contractor list.

###   

### Share your business card manually

  

1.  Open **Sharing Tools** from the sidebar menu.
2.  Select **Share digital business card**.

You can share your business card in person or remotely:

*   **Share the QR code in person:** If a client with the Rachio app scans the QR code, they will be invited to save your contact card in their Rachio app.
*   **Share by text or email:** The client can open the link and save your card in their Rachio app.

### Where clients see your business card

Clients can:

*   View contractor contact details
*   Add notes
*   Save the contact to their phone
*   Share the contact with another person
*   Delete the contact from their contractor list

Contractor lists are available to anyone with shared access to a property. This means a spouse, neighbor, or another person with shared access to the same property can also see contractor contacts saved to that property.

  

For Pro users, contractor lists are read-only. Pro users cannot add business cards shared by other Pros or manually create contractor cards.

## Manage or delete a Business Account

Only the Owner can transfer ownership or delete the Business Account.

###   

### Transfer business ownership

The Owner can transfer business ownership to another member of the business.

  

When ownership is transferred:

### Delete a Business Account

Only the Owner can delete a Business Account. Deleting a business requires email verification.

  

To delete a business account, open the side bar menu and select the business name, then tap "More options".

  

#### Warning

Once you delete a Business Account, it cannot be undone. Deleting a Business Account affects all members and property access. Admins and Techs lose their business membership, and their accounts are converted to consumer accounts. They also lose access to properties and devices that were owned by or shared to the business.

  

After deletion:

*   The Owner retains ownership of any properties owned by the former business.
*   The Owner keeps shared access to properties that were shared to them.
*   Admins and Techs lose access to business properties and devices.

Yes. Clients keep control of properties they own. If a client shares a property with your business, they can remove business access at any time.

Remove the Tech from the Business Account. Their access to business-owned and business-shared properties is removed, and devices stay connected to the business.

If they onboard a device into a business-owned property, the business owns the device. If they onboard a device into a client-owned property shared to the business, the client owns the device.

Yes, if you need to keep personal Rachio devices separate from business work. Business Account roles are designed for professional use and have different ownership rules.
